How we handle your information.

What this website collects, why, who sees it, and the choices you have under Botswana's Data Protection Act. Last updated 22 September 2026.

Who we are

EasyLink Solutions is responsible for your information.

EasyLink Solutions (Pty) Ltd, headquartered in Maun, Botswana, decides how the information you send through this website is used. In the words of the Data Protection Act, 2024, we are its data controller.

Questions about your information, or a request to use one of your rights, go to the same team that handles your enquiries: write to us through the contact page.

What we collect

Only what a request or a message needs.

A support request
Your name, operator or company, email address and phone or WhatsApp number, and the flight: aircraft type and registration, airport, arrival and departure times, passengers and crew, the services you choose and any notes.
A message
Your first and last name, email address, phone number, company and what you write to us.
Emails and WhatsApp
When you write to us directly, your message and the contact details it comes from.
What we never ask for
Payment card details, passwords or accounts. The website does not build a profile of you, and it measures visits only if you agree to analytics or marketing cookies.

How we use it

To answer you and coordinate the movement.

We use your information to reply to you, to arrange the services you ask for, and to keep you informed by email as the request progresses, with a copy of every update and any quotation.

We do this because you asked us to and to deliver the service we agree with you; to keep an accurate record of requests and correspondence, which is in our legitimate interest; and to meet our obligations under Botswana law, such as keeping business and tax records.

When you send a support request, your details are also added to our contact records, so the next request reaches the same file. With your agreement, and only then, we also measure how the website is used and how our adverts perform.

We do not use your information for unrelated marketing, we do not sell it, and no decision about you is made by automated means.

Who sees it

Only people who need it to deliver the service.

EasyLink operations
The team that coordinates your movement and answers your messages.
Providers in your movement
Ground handlers, fuel suppliers, caterers, transport, accommodation and specialist providers, each receiving only the details their part of the service needs.
Authorities
Airport and aviation authorities, where permits, clearances or the movement itself require it.
Our technology providers
The companies that host this website and carry our email, working on our behalf and bound to keep your information confidential.
Google and Meta, if you agree
Only if you accept analytics or marketing cookies: details of your visit go to Google Analytics and Meta Pixel, which handle them under their own terms.

Beyond Botswana

Movements cross borders, and so can the details.

A movement often starts or ends outside Botswana, so a provider or authority in another country may need your details to deliver their part of it.

We send information abroad only where the Data Protection Act allows it: to countries that protect personal information adequately, or with safeguards that keep it protected.

How long we keep it

As long as the service and the law need it.

We keep requests, and the emails about them, for as long as we need them to deliver, invoice and account for the service, and for as long as Botswana law requires business records to be kept.

A message that does not lead to a request is deleted once it has been answered and we no longer need it. You can ask us to delete your information sooner; we do so unless the law requires us to keep it.

Keeping it safe

Access for the people handling your request only.

Requests and messages are held in our website's administration, which only authorised EasyLink staff can open, each with their own login. Quotations are kept in protected storage and reach you as email attachments, never as public links.

The email addresses on this website are shielded from the programs that collect addresses for spam, and our forms catch automated spam without tracking visitors. If a breach ever put your information at risk, we would tell the Information and Data Protection Commission and you, as the Act requires.

Cookies and tracking

No cookies unless you agree.

This website sets no cookies of its own. Its fonts, photographs and films are served from our own website, so opening a page does not tell another company that you visited.

We may ask whether you agree to two tools. Google Analytics shows us which pages are read and how visitors find the website; Meta Pixel tells us whether our adverts on Facebook and Instagram bring visitors here. Each loads only after you agree, sets its own cookies and sends details of your visit, such as the pages you open, your device and your approximate location, to Google or Meta, which may process them outside Botswana. If you send a request after agreeing, they learn that a request was sent, never what it contains.

Your choice is remembered in your browser for a year. You can change it at any time with Cookie settings at the bottom of every page, and withdrawing it deletes their cookies from this website.

While you build a request, the services you add are kept in your browser tab, so they stay in your list as you move between sections. They are never sent to us until you send the request, and they are cleared when you close the tab.

Some links leave this website, such as adding a movement to Google Calendar or Outlook, or messaging us on WhatsApp. Those services only receive anything if you choose to use them, and their own privacy terms then apply.

Your rights

Under the Data Protection Act, 2024, you can ask us for

  • Access

    A copy of the personal information we hold about you, and how we use it.

  • Correction

    Wrong or incomplete details put right.

  • Deletion

    Your information deleted when we no longer need it or should not hold it.

  • Objection

    An end to, or a limit on, a use of your information you object to.

  • Portability

    The information you gave us, in a format you can take elsewhere.

  • Withdrawal

    Your agreement to analytics or marketing cookies taken back, at any time, from Cookie settings.

  • Complaint

    If you are unhappy with how we handle your information, you can complain to the Information and Data Protection Commission of Botswana.

Changes

When this notice changes.

We update this notice when the website or the way we work changes, and the date at the top of the page shows when it last changed. This website is meant for aviation operators and their teams, not for children.
